Changing school system is a big deal. Here’s exactly how it goes.
The fear is never the software. It is the year of records, the fee agreements, the SEND provision and the safeguarding files — and being left to move them yourself.
Six steps, in order
- 01
See your own school first
Send us an export from the system you use today. We load it into a private space and you spend your trial looking at your own pupils, not a demonstration school.
- 02
Agree what comes across
Pupils, families and contacts always come. Then we go through the rest together — marks, attendance history, fees, documents, SEND and safeguarding records — and decide what moves and what stays as an archive.
- 03
We do the move
On the School plan this is included, with no setup fee. You check a sample before we load the rest.
- 04
Check it side by side
Your team works through the records that matter most — the roll, contacts, fee agreements, SEND provision — against the old system, before anything depends on it.
- 05
Go live at a sensible moment
Most schools switch at the start of a term or a year, when the roll is stable. We agree the date with you rather than handing you one.
- 06
The first term
Training for each team, a named contact on the School plan, and a review at the end of the term to fix what is still awkward.
What schools ask us first
- “Our safeguarding records are sensitive.”
- They move separately, into an area only the staff you designate can open, and no part of the AI can read them afterwards.
- “We have years of history.”
- Bring what you need live and archive the rest. You do not have to move everything to start.
- “What if we want to leave you?”
- Export everything, whenever you like. We would rather you could go than have to stay.
- “Our staff have no time for this.”
- The work that needs your team is the checking, not the moving. We do the loading.
